Terms for VisaDubai services, admin operations, customer portal access, document workflows, and email OTP communications.

This is a business and privacy operations template for the implemented system. It should be reviewed by qualified counsel before being used as a binding legal document.

Service Scope

VisaDubai provides consultation, document coordination, application preparation, status tracking, and related administrative support for Dubai and UAE visa, relocation, business, study, investment, and real-estate pathways.

Government authorities, embassies, free zones, banks, schools, medical centers, and third-party providers make their own decisions. VisaDubai does not guarantee approval, processing time, fees, appointment availability, immigration outcomes, or third-party decisions.

Customer Responsibilities

You are responsible for providing accurate, complete, current, and lawful information and documents. This includes passports, photos, financial documents, employment or business records, travel history, family details, and any supporting evidence requested for your case.

You must review all forms, drafts, translations, and submitted information before approval. Delays, refusals, penalties, or extra costs caused by missing, false, expired, inconsistent, or late information remain your responsibility.

Portal and Email OTP

Admin and customer access uses email one-time passcodes only. You must keep your email account secure and notify us immediately if you suspect unauthorized access.

Actions made after successful OTP verification may be treated as authorized electronic instructions, including document updates, case messages, approvals, and template-managed email communications.

Documents and Records

The portal may show required, uploaded, reviewing, approved, revision-requested, expired, or completed document states. These statuses are operational tracking labels and do not replace official government confirmation.

Document links or file references you provide must be accessible, lawful, virus-free, and controlled by you. We may reject unclear, incomplete, suspicious, expired, or non-compliant materials.

Fees, Refunds, and Third-Party Costs

Service fees, government fees, translation fees, courier fees, medical testing, insurance, attestations, bank charges, free-zone fees, and other third-party costs may be separate unless a written quote states otherwise.

Refunds depend on the written commercial terms for your package. Fees already paid to authorities or third parties, completed consultation work, document review, administrative preparation, and submitted applications are normally non-refundable unless mandatory law requires otherwise.

Processing Times and Changes

Timelines are estimates. Authorities may change requirements, request additional evidence, pause processing, reject applications, or alter fees without notice.

If rules, eligibility criteria, exchange rates, government fees, or third-party costs change, your quote, checklist, or strategy may need to be updated.

Communications and Email Templates

We may send OTP codes, case updates, document requests, revision notices, approvals, payment reminders, appointment notices, and completion messages by email using templates managed by authorized admins.

Template content is operational communication. If a template conflicts with a signed agreement, invoice, official receipt, or government notice, the signed agreement, invoice, receipt, or official notice controls.

Acceptable Use

You must not upload forged, stolen, misleading, harmful, defamatory, infringing, or unlawful content. You must not attempt to access another customer account, bypass OTP controls, scan, overload, or misuse the portal.

We may suspend access, refuse service, report suspected fraud, and preserve relevant records where required for legal, compliance, security, or fraud-prevention reasons.

Confidentiality and Data Protection

We handle customer and document information according to our Privacy Policy. Some personal data may be sensitive because visa processing can involve identity, family, financial, health, biometric, immigration, or legal status information.

You authorize us to share necessary information with authorities, third-party processors, professional advisers, and service partners where needed to deliver the service, comply with law, protect rights, or prevent fraud.

Liability

To the maximum extent allowed by law, VisaDubai is not liable for indirect, incidental, special, consequential, punitive, or lost-opportunity damages, or for losses caused by authorities, third parties, incorrect customer information, missed deadlines, unavailable systems, or email account compromise.

Our total liability for a paid service is limited to the service fees you paid directly to VisaDubai for the affected service, unless mandatory law requires a different limit.

Disputes and Governing Terms

These terms apply together with any signed proposal, invoice, engagement letter, package terms, and written service confirmation. If there is a conflict, the more specific written commercial document controls for that service.

Disputes should first be raised in writing so both parties can attempt a practical resolution. Unless mandatory consumer law says otherwise, the governing law and forum are those stated in the signed service agreement; if none is stated, UAE/Dubai-based service law and forum may apply.

Updates and Contact

We may update these Terms when services, technology, legal requirements, or business operations change. The updated version applies from the posted effective date.
